Understand the difference between mailing activity, delivery, inquiries, estimates, and booked moves when reviewing a postcard campaign.

A campaign report becomes more useful when every number has a clear meaning. The number of postcards sent tells you about activity. The number of booked moves tells you about a business outcome. They belong in the same discussion, but they are not the same measure.

Define each stage before comparing results.

Keep mailpieces ordered, mailpieces sent, available delivery statuses, customer inquiries, estimates, and bookings separate. A record may reach one stage without reaching the next.

Missing reporting is different from zero activity. If a provider cannot return a report, the honest result is unavailable data, not a zero that appears to prove nothing happened.

  • What did we order and send?
  • What does the mailing provider confirm?
  • What did our sales team record afterward?

Keep the campaign window consistent.

Use dates that correspond to the campaign you are evaluating. Comparing one week of campaign spend with a lifetime booking total produces a number that looks precise but does not answer a useful question.

Allow for the difference between when a postcard is sent, when it is delivered, and when someone contacts you. Keep a record of the window you used so a future review can compare the same thing.

Ask how the inquiry reached you.

Give the sales team a simple way to record the source. Keep the original inquiry, campaign context when known, estimate, and booking connected in your normal business workflow.

A customer may have seen your postcard and also found you through search or a recommendation. A match between records can support analysis, but it does not prove the campaign was the only reason for the booking.

Do not confuse booked revenue with profit.

A booked move has costs. When evaluating a campaign, distinguish the quoted or booked amount from completed revenue and from profit after the relevant operating costs.

Use a clearly defined cost base and reporting window. Do not label a simple revenue-to-ad-spend comparison as net profit or imply that an illustrative return is what another company should expect.
